2 Minutes of AGM Meeting on 29th November 2021

Item 8 was amended as follows:

“The decision not to put the proposal to a vote was made because it was unclear at that time whether all votes could be verified”

3 Matters Arising

It was decided that the proposal raised at Item 8 of the AGM meeting would be actioned as follows:

• Jamie and Harry are to be thanked for their sterling work in maintaining the tennis courts

• In light of Southend BC’s passive management regime for the tennis courts, Chris will write to them, to bring their attention to how the courts are being maintained, to ask for their plan for future maintenance and to request ongoing dialogue with SGMCL and GRA

4 Cart & Wagon Shed

The Committee expressed concern about the absence of clear formal plans for funding and usage.

It is reported that the Lease should be signed by the CIC and Council in the next few weeks.

The Shoeburyness Coastal Community Team will meet by end February, when more news will be made available. Chris will contact CIC once more to get firm details about usage, opening hours etc.

5 Update on S 106 handover

The Transfer has now gone through and information is to go through to the prospective directors: Current directors will appoint their successors and control will pass.

New share issue will be arranged by Fowler & Spenceley.

Fowler & Spenceley will advise residents when the change happens. There is no impact as SGMCL remains the constant legal entity.

6 Zoom Improvement

The Committee thanked Phil for continuing to arrange the Zoom meetings.

It is noted that eligibility for voting by Zoom has now been clarified: techniques include the ability to vote by Zoom, poll from choices, take live votes, create a breakout room and live chat room and record meetings.

7 Report from Fowler & Spenceley

Michael Stiers delivered the report of the Managing Agents.

General maintenance continues: the work on Horseshoe Crescent is continuing and road sweeping and gully emptying has gone well

The Committee wished Michael a speedy recovery.

Pam Dewey noted that painting of the cricket pavilion and removal of dead trees had improved the area at the junction of Magazine Road and Warrior Square Road.

It was suggested that GRA should organize a community event to mark the Queen’s Platinum Celebration. Pam Dewey offered to coordinate the event.

The meeting closed at 8.55 pm

Next Meeting will be a Zoom meeting on 21st February at 7.30pm.
